1. I can’t remember my password.

If you have forgotten your password, enter your username in the login area on the front page, and click ‘forgot password’. If you nominated an email address at registration, a new password will be sent to your email address. If you did not register an email address, you will need to call WorkPro Support on 03 354 5465 to have your password reset.

2. I can’t remember my CIN and PIN.

If you have completed a WORKPRO module, you do not need to re-register or complete the modules again. Once you have completed a WORKPRO induction, the information is stored in the database forever, and can be accessed, even if you have forgotten your CIN and PIN.

To access your CIN and PIN, login (follow instructions above if you have forgotten your password), click on ‘profile’, ‘custom’, ‘workpro profile’. The CIN and PIN are seen at the bottom left hand corner.

3. Why do I need to induct Employees/Contractors?

To demonstrate compliance with OHS and anti-discrimination law, an employer or principal contractor is required to show that they have provided adequate instruction and training on the law and how to prevent breaches of the law.

Instruction and training is a central element of any employment law risk reduction strategy and an induction is the first critical step along the path to compliance in this area. It is especially important to provide on-hired workers with general inductions before being assigned to work because the ability to control the delivery of training once the person has been assigned to a client becomes increasingly difficult.

But don’t just take our word for it, the recently released WorkSafe Victoria guide entitled, Placing Workers in Safe Workplaces, states the following:

There is a legal responsibility on both the labour hire agency and the host employer to train employees. They should be provided with the instruction and training that they need to do their job safely. This should include induction training.

WorkPro induction training is a great way to do the following:

  • Demonstrate to new and existing employees and contractors that your organisation takes safety and the avoidance of discrimination seriously.
  • Provide information to individual’s on their rights and responsibilities when at work.
  • Provide information on common risks and what to do if they are exposed to such risks
  • Assess the level of OHS and anti-discrimination knowledge of your employees/contractors to determine whether further instruction and training is required.
  • Demonstrating to a court or tribunal that you have done more than pay “lip service” to safety and anti-discrimination.

4. How will WorkPro benefit my Organisation?

There are many commercial benefits of WorkPro. Some of those include:

5. How does WorkPro fit into my broader OHS and EEO management systems?

While inductions are an important part of a complete OHS and Equal Employment Opportunity (EEO) management system, they are just one part of such system.

As mentioned, WorkPro learning and induction modules play an important role in delivering instruction and training to employees and contractors on how to prevent safety risks and discrimination at work.

Whilst an induction is important it doesn’t mean you can forget about the other important parts of the respective management systems, including (this list is not exhaustive):

OHS Management

  • Match the competence and qualifications of an applicant to a client position description and assignment brief.
  • Ensuring a site specific induction is provided before commencing work.
  • Providing information on specific risks and risk control measures within the client workplace
  • Ensuring job and task specific training is delivered.
  • Conducting a client OHS system assessment to identify gaps and remedies required.
  • Conducting a client workplace assessment to identify specific hazards and negotiate risk control measures.
  • Continually monitoring the site for new hazards and ensuring risk control measures remain effective.
  • Maintain a system for reporting and resolving OHS issues raised by on-hired workers.

EEO Management

  • Maintain an effective complaints resolution procedure and ensuring on-hired workers are clear on how and when to use it.
  • Maintain EEO contact officers within your organisation and/or within the client’s workplace.
  • Ensure the delivery of site and/or job specific EEO training as required.
  • Ensure your client or other employers of workers within the same workplace are provided with training on EEO by their respective employer or principal.

6. How is WorkPro Accessed?

WorkPro is accessed via the Internet.

This allows for everything to be done at a location that is convenient to individuals preparing for new work opportunities as well as those assessing the suitability of employees and existing workers for new positions and contracts.

7. How does an Employer/Organisation Register?

An organisation registers on-line.

Go to the front page of the website, and select ‘register as an Employer’.

Complete the registration form, and submit the details. On successful submission of the registration, you will be emailed a unique username and password that you will use to login to the WorkPro system in the future.

8. How does a Contractor/Employee Register?

Anyone can register and complete any of the induction/learning modules free of charge.

All an individual requires is access to a PC and broadband.

During the registration process, the person will nominate a password and the username, Candidate Identification Number (CIN) and PIN is auto-generated by the system. The username, CIN and PIN is shown on the screen following successful registration, and if the individual has nominated an email address, the details will also be emailed, including confirmation of the password.

9. How do I verify an Employee/Contractor’s information?

All information can be accessed and verified on-line. You will need the person’s CIN and PIN to be able to access their information. You simply login to WorkPro using your username and password, click on ‘Verify an Employee’, and enter their CIN and PIN.

When you have paid the fee to view the individual’s profile, the system will automatically and permanently record the date and time you viewed the information. You can either print the certificate at this point for hard copy evidence, save the certificate into your employment database, or run a report regularly that shows the people you have verified in that period.

10. How can I guarantee that another Employer will not contact a WorkPro user from the WorkPro database?

To access anyone’s details, you will need their CIN and PIN. Without these two numbes, it is impossible to gain access to a person’s information. WorkPro also regularly communicate with anyone registered as a WorkPro employee to remind them to change their PIN to maximise the integrity of the system.

11. How will a WorkPro record aid in compliance?

We have already mentioned that induction training is an important part of a greater OHS and EEO management system and that effective training will reduce liability of employers.

It is one thing to deliver training to an individual it is another thing to be able to prove that you have delivered it especially if challenged in a court or tribunal.

Therefore, it is absolutely critical that you retain records that you have verified that one of your workers has completed induction training.

The benefit of WorkPro is that the information and method of delivery is consistent and paperless.

When you log on to an individual’s Work Profile, an electronic record of such verification process is captured for future recall. Gone are the days of having to find pieces of paper and asking ex-employees about whether an individual did or did not complete training.

WorkPro is about making evidence of compliance easier to create, safer to store and easier to recall when you need it.

12. How do we recommend you use WorkPro?

One of the real benefits of WorkPro is that anyone can create a Work Profile and complete induction modules both free of charge and without having to go in to a potential employer’s office to complete the process.

Given the number of individual’s who register for work, WorkPro is a great tool for collecting information and getting the first stage of training done without it impacting upon your time.

We therefore recommend that you consider the following approach to using WorkPro to make your employment system more efficient.

  • Someone rings to register for work with your organisation.
  • Ask them to email their resume to you or conduct a pre-screening interview.
  • If appropriate, send them an email with instructions on how to create a WorkPro Work Profile and which WorkPro training modules need to be completed before being considered for employment.
  • Once you have completed the interview and determine you have employment for them, log into WorkPro, and verify their induction and learning results.

13. Can an individual undertake the same induction module if they fail the first time?

An induction module can be undertaken until successful completion of the assessment.

14. What information is included in the WorkPro certificate?

  • Name and address
  • Residency Status
  • Licence and Qualifications Held
  • Induction modules completed, date completed and score attained
  • The date and time the person’s record was verified.
It is NOT necessary to print out the certificate as a record of the verification is automatically stored in the database, and a report can be generated to gain this information.
